Integration

The software solution is supported by several interfaces for integration with other information systems (SAP, IS21, GIS) and supports the export of documents in several formats (eSlog, XML). A web portal allows your service users to view consumption and enter meter status.

Data acquisition

It includes interfaces for radio meter reading, consumption capture via web portals or the capture of data on the number of bin collections via web services. All these data are checked against expected and historical quantities, external temperatures and other influencing circumstances before being entered into the system. The outliers and indices are used to generate lists of potential errors which can be further examined at a later stage.

Billing

The software is flexible and allows for several different billing methods. It knows all combinations of main, sub-metering and add-on metering devices in several levels. In months when meters are not read, it can charge advances, and when readings are taken, it can settle differences or create overpayments. The difference between the main meter and the sub-meter can be apportioned in different ways: by percentage of consumption (%), by area, evenly or by other parameters. Meter consumption, meter output or contract quantities may be taken into account in the billing of services. Billing may be: regular, monthly, one-off, annual, half-yearly or date limited.

Invoices

Invoices can be prepared and issued in different formats, either as ordinary, summary or special items. We can also prepare a file for printing special items or a file for automatic direct debits. We also have various printouts available, such as: printouts of invoiced and paid realisations, analyses by different service groups, systems, settlements, municipalities, profit centres or other classifications.

Records

The software package includes a number of records that allow comprehensive data management of customers, contacts, connections, consents, contracts, metering points, power, containers, services, cost sharing, metering devices, consumption, notes, miscellaneous documentation, etc.

The Integrated Information System IS21 is an ERP software solution for IT support of business processes. It consists of several modules that support all business functions of the company. Invoice clearance

Companies receive invoices from their suppliers in various forms. They can be in paper or electronic form. The company must pay the invoice within the agreed time limit or make a complaint. To do this, it must put in place an efficient process whereby the invoice is either accepted or rejected by the persons responsible.

Different invoices may be approved by different persons in the organisation, according to responsibility. To ensure that an invoice received is not lost, it must become part of the document system as soon as it is received. The document’s path through the validation process must be predictable. At each step, the relevant data must be recorded. In particular, the status of the process and the date and time at which key events in the validation process occurred are important.

A document enters the process in different ways. If the invoice is originally in e-form, it is usually received by e-mail and imported into the document system. If the invoice is in paper form, the first step is to capture it in electronic form using a scanner. This is followed by the capture of the metadata. This is the key information about the document that first helps the person responsible to approve or reject it. This is descriptive, date and numeric data, which is mostly captured automatically using OCR technology or directly from an agreed document structure (XML, JSON or other similar format). The captured metadata simplifies the entry of the document into the business information system (ERP) further down the process.

If the invoice is validated by the validator, it is automatically transferred to the IT system and no data re-entry is necessary. What’s more. Additionally, when the invoice is imported into the system, a data check can be carried out (e.g. the VAT calculation can be used to check whether the amounts for the invoice were correct). However, if the invoice is rejected by the validator, the process can be automated in such a way that a complaint is sent to the supplier by e-mail.
